JOB SUMMARY:

Clemson University's Glenn Department of Civil Engineering is looking for an Office Manager to fulfill the following duties:
  • Coordinates and provides complex administrative support to the Glenn Department of Civil Engineering.
  • Oversees personnel, procurement and fiscal operations.
  • Performs other duties as assigned.

JOB DUTIES:



35% - Essential - Executive Assistance: Provides administrative support to the Department Chair of the Glenn Department of Civil Engineering. Coordinates the Department Chair's schedule, meetings, and travel. Provides knowledgeable responses to inquiries from outside the department as well as from faculty, staff, students and others that comes into the department. Applies policies and procedures while providing support to all that needs assistance.

30% - Essential - Business Management: Coordinates and manages personnel, procurement and fiscal operations for the dept. Ensures compliance with Federal, State and University regulations. Works closely with the fiscal analyst to ensure payments and purchases are within budget. Approves purchases and payments for department, grants (including NSF) and other special projects. Coordinates and prepares evaluation of staff in the department. Serves on faculty and staff search committees, providing guidance on policies and procedures. Audits and approves payroll. Provides assistance and support to the undergraduate and graduate programs as needed. Provides textbook support to faculty, post docs, and graduate teaching assistants for class needs.

20% - Essential - Office Oversight: Manages the office in the absence of the Department Chair. Oversees administrative staff (including fiscal tech who process all payments for the department and administrative assistant responsible for all HR needs in the dept) as well as assistance with student workers. Maintains records for the dept in compliance with University Records and Retention Policy. Monitors and provides support for issues related to employee leave. Reviews insurance coverage for vehicles and equipment belonging to the dept and processes payment from grants and projects as necessary.

15% - Essential - Event Planning: Organizes and coordinates banquets and other events for the department including the Annual Gerald and Candice Glenn Banquet, the Annual Honors and Awards Reception, the External Advisory Board which meets twice a year, retirement receptions and other events for the dept. Makes travel arrangements for all events including banquets, receptions, board meetings, faculty interviews, faculty and student travel to conferences and presentations and any other as needed. Supervises other staff and students involved in events.

MINIMUM REQUIREMENTS:

Education - A High School Diploma and relevant experience in business management, public administration, or administrative services or a Bachelor's Degree may be substituted for the required work experience.

PREFERRED REQUIREMENTS:

Education - Bachelor's Degree in a related field.

Work Experience - 3+ years

SUPERVISORY RESPONSIBILITIES
Supervises Work of Others - Supervises work of others and may offer recommendations for hiring, termination and pay adjustments but does not have responsibility for making these decisions.

BUDGETARY RESPONSIBILITIES
Monitors Budget - Does not provide input but is responsible for monitoring the departmental budget and may oversee fund allocation.

PHYSICAL REQUIREMENTS:

Education - Bachelor's Degree in a related field.

Work Experience - 3+ years

WORK SCHEDULE:

Standard Hrs: 37.5; Expected Salary Range ($ 41,800.00 - $ 50,000.00)
