 This position is located in our Salem office
This position will assist the division managers and project managers with project delivery tasks. The controller may support design, construction or both. The duties of this position require strong analytical, evaluation, problem-solving, coordination, and time management skills.
Essential Duties and Responsibilities
  • Work collaboratively with multidisciplinary teams, communicating frequently with PMs to update them on project status
  • Disseminate project information to team members
  • Perform a variety of meeting-related assignments, such as: coordinate, attend, prepare summaries, and prepare meeting materials, including presentations, agendas, and meeting collateral
  • Monitor project schedule, budget, and deliverables
  • Maintain project records and documentation, including action item/decision logs
  • Help manage QA/QC process, including editing/proofing, scheduling internal reviews, and tracking progress/completion
  • Manage communications between client, OBEC, and/or subconsultant staff
  • Create, update, and manipulate MS Word documents, MS Excel spreadsheets, and MS PowerPoint presentations
  • Keep ProjectWise folders and photos organized and help train staff in the proper procedures and standards
  • Assemble and submit project deliverables with OBEC and subconsultant staff
  • Perform other related duties as assigned
Requirements/Minimum Qualifications
Bachelors' degree with 5 years of related work experience.
Previous experience/skills:
  • Advanced proficiency with Microsoft Office products (Outlook, Word, Excel, PowerPoint)
  • Intermediate proficiency with MS Project
  • Advanced proficiency and accuracy with proofing and editing documents
  • Advanced experience compiling and extracting data for studies and reports
  • Excellent time management skills (setting priorities/organizing, attention to detail, handling multiple projects at once)
  • Previous assistant project manager or project manager experience
  • Basic mathematical calculations
  • Demonstrated ability to work in a cooperative manner, to communicate effectively with co-workers, and to work productively and skillfully in a fast paced, client service-oriented environment
  • Ability to commute between offices or drop off items with clients, if required
  • Ability to assist with the preparation scopes and budgets
  • Previous experience working with engineering and consulting terminology, preferred
  • Work independently with minimal oversight, follow established procedures, exercise independent judgment
  • Conform with and recommend improvements upon OBEC's standards
  • Recommend process improvements
  • Take accountability for personal performance on projects and for successful completion of assignments
Working Conditions and Physical Requirements
This work is typically done within an office environment with occasional field work at project/construction sites.  When field assignments are required, the working conditions/physical requirements for field staff apply.
  • Basic work shift may consist of 8 or 10 hour days with the likelihood of extended hours, and/or weekend work
  • Schedule variability includes long, unpredictable and/or fluctuating hours, requirements to work on short notice to meet project production and/or construction deadlines
  • Extensive prolonged use of computers and peripheral equipment, with finger and manual dexterity that can last on average 8-10 hours/day
  • Extended periods of sitting, standing, and walking around the office; occasional field assignment supporting engineering design functions
  • Limited physical activity involving standing, walking, bending, reaching, lifting, and pulling required of office functions
  • Ability to move or lift moderate size packages up to 30 lbs
  • Travel between offices and to clients, as needed
